If you're using the “All Mailing Lists” option in your Zapier integration with PEAK 15, we want to share important best practices to help you optimize performance and manage Zap task usage effectively.
What Is the “All Mailing Lists” Option?
This option allows you to synchronize contacts and list members across all static PEAK 15 mailing lists within a single Zap.
Note: Dynamic mailing lists are not supported by this feature.
Why This Matters
Selecting “All Mailing Lists” can result in high Zap task usage, especially during the initial sync. Zapier charges per task, so syncing all lists at once may consume a large number of tasks.
Recommended Best Practices
To ensure efficient data management and minimize Zapier costs, PEAK 15 recommends the following workflow:
1. Initial Sync
Perform the initial synchronization of mailing lists outside of Zapier using external tools or manual import methods. This avoids triggering a large number of Zap tasks.
2. Ongoing Updates via Zapier
Use Zapier to sync only incremental changes, such as:
- New members added to a list
- Members removed from a list
- Updates to contact details (first name, last name, email, or preferred name)
3. Zap Configuration Options
- Individual Zaps per List: You may choose to set up one Zap for each marketing list. (Recommended)
- Single Zap with “All Mailing Lists”: Alternatively, if your audience is segmented by tags, a single Zap using the “All Mailing Lists” option may be appropriate.
Tip: When using “All Mailing Lists,” the initial external sync becomes even more important to avoid excessive Zap task usage.
