SETTING UP VAMOOS ON PEAK 15
- In the Admin Section, click on Itinerary Templates under Sales Settings column.
- Click on +NEW from the Active Itinerary Templates view page.
- Enter a Name for the Itinerary and scroll down to “Vamoos Mobile App”.
- Expand the Vamoos Mobile App grid on the itinerary template form.
- Fill in the other areas of the Vamoos Mobile App
The Vamoos Mobile App is divided into three Areas– Settings, Storyboard, and Other.
SETTINGS AREA
Fill in the User ID and API Token provided.
Field 1 and Field 3 are required fields and are auto populated to map the Trip Name and Booking Client First Name respectively. These can be changed as per user preference.
Field 4 is auto populated to map the Booking Client Last Name, but this can be changed as per user preference.
Field 1,Field 2, Field 3 and Field 4 are dropdown fields with the following options –
- Trip Name – The Trip Name on the TRIP page will be sent to Vamoos. On Vamoos, the appropriate field will display the Trip Name.
- Booking Client First Name – The First Name of the client on the Booking. On Vamoos, the appropriate Field will display the first name of the booking client.
- Booking Client Last Name – The Last Name of the client on the Booking. On Vamoos the appropriate Field will display the last name of the booking client.
- Booking Name – The name on the Booking. On Vamoos, the appropriate Field will display the Booking name.
- Booking Reference Number – The Reference number(Ref #) on the Booking page. On Vamoos, the appropriate Field will display the Booking Reference Number.
- Household Name – The Household name from the contact record of the client on the Booking. On Vamoos, the appropriate Field will display the Household Name.
STORYBOARD AREA
Click on the Include Storyboard checkbox if you would like to display your activities on the Departure on Vamoos.
Clicking on the checkbox will display all the fields under the Storyboard Area. These field do the following–
Do Not Show Days – Checkbox will hide day number.
Include Start Time – Checkbox will display the start time of each activity if a start time is entered for a Cost.
Name – select what you want the headline to be. Options include–
- First Activity Name– the name of the Cost will be populated in the headline.
- First Activity Brief Description– the Brief Description under Activity Details in the Cost will be populated in the headline.
- First Activity Full Description– the Full Description under Activity Details in the Cost will be populated in the headline field of Vamoos.
Additional Info – Choose what you would like the Additional Information on Vamoos to display. The list of options is –
- First Activity Brief Description – content in the Brief Description field of the first cost on each day.
- First Activity Full Description – content in the Full Description field of the first cost on each day.
- All Activities Brief Description – content in the Brief Description field of the all costs of each day.
- All Activities Full Description – choose how location is displayed
Location – Lets you choose your choice of location to be displayed on Vamoos.
- First Activity Start Destination Lat/Lon – location of the activities on each day is displayed in the Location field.
- First Accommodation Start Destination Lat/Lon – location of the accommodations on each day is displayed in the Location field.
- First Accommodation company Lat/Lon – location of the vendor on each day is displayed in the Location field.
Background Image – You can choose to display any of the following images as your Background Image field.
- First Activity Image
- First Activity Destination Image
- First Accommodation Image
- First Accommodation Company Image
OTHER AREAS
Include People – Clicking the checkbox will display all the guests under a booking in the , People tab.
All the Bookings or the Guests in a booking must have a Status Reason of Booked.
Include Flights – Clicking the checkbox will display the flights under the Flight tab. There must be flights entered under the travel reservation section of the Booking.
Hide Posts Icon – Clicking the checkbox will hide any posts entered by the guest on their travel.
PREREQUISITES FOR SENDING TO VAMOOS
- The Itinerary Template created using the Vamoos Mobile App tab must be associated to one of the versions of itinerary in the Departure.
- The Background Image is a required field on Vamoos , Please ensure you have an image attached for the Main Image field on the Departure.
Note: the image must be a URL of an image, not an attachment.
Allowed Image Formats – JPEG , JPG , GIF , PNG
Maximum File Size – 4MB
Recommended dimensions – 2048 x 2048 pixels
3. Each of the costs created must feed into the itinerary version that you wish to display when you send the itinerary to Vamoos.
4. For the activities to be displayed in Vamoos, you must create costs with Activity as the cost category type.
5. For the Location field to display in Vamoos you must enter the coordinates (latitude and longitude) of the destination manually.
6. For the First Accommodation Start Destination Lat/Lon to display on Vamoos, you must create the cost with Accommodation as the cost category type and enter the destination name (you must have latitude and longitude entered manually in the destination).
7. For the First Accommodation Company Lat/Lon to display on Vamoos, you must enter the (latitude and longitude) of the destination manually in the company record
SENDING ITINERARY TO VAMOOS
- Open the Bookings page of the client.
- Click the ellipses and select Send to Vamoos.
- Choose the Itinerary version.
- Clicking on the itinerary version will open “Send Itinerary to Vamoos” wizard. Depending on the version of itinerary that you are sending to Vamoos , the heading on the wizard will be different.
- Log In – Pre-populated and locked. This is provided to you by Vamoos which is used by the client to access their Itinerary.
- Passcode – Pre-populated and locked. Passcode is the client’s last name followed by the client’s Booking reference number.
- Departure – Hyperlink to the Departure.
- Include Storyboard, Do not Show Days, Include People, Include Start Times, Hide Posts, Include Flights – These checkboxes will default to be checked or unchecked depending on the itinerary set up. You can change the settings here.
- Travel Documents and Other Documents – You can attach PDF documents in this area. Click on the “Select PDFs that will be sent”. A window pops up that lets you browse the PDF files from various sources or drag and drop the PDF files. 5. After the files are updated, click Send on the wizard.If you are sending the itinerary to Vamoos for the first time, then you will see a “Passcode doesn’t exist yet and will be created. Click OK to continue” message
6. Clicking OK on the message will load and send the Itinerary to Vamoos. If the Itinerary is successfully sent, a “Vamoos Create Successful!” message will display. 7. Clicking OK on the message will open the wizard, which now displays a Preview Link
8. Clicking Close on the window will close the wizard and you will be back on the Booking form.
9. Clicking the Back button on the wizard will take the user back to the previous step where they can change the settings and click the Send button again.
10. Clicking the Send button again will resend the itinerary to Vamoos and display a message “Passcode already exists. Click OK to continue with complete update.” 11. Clicking OK on the message will load and send the itinerary to Vamoos. If the Itinerary is successfully sent, a “Vamoos Update Successful!” message will display 12. Clicking OK on the message will open the wizard.
13. On the Booking form two new fields will be created and auto-populated – Vamoos Passcode and Vamoos URL.
TROUBLESHOOTING
In the case of the 422 Error or an error that the itinerary is not updates, please ensure the following
- The main image is selected for the departure.
- Each destination or vendor for the location map has latitude and longitude values.
- Your User ID and API Token in the itinerary template are correct,
- Check if the time entered have a space time between the number and the AM or PM.(Eg : 2PM wouldn’t work ; 2 PM would work).
